Newlyn Art Gallery & The Exchange seeks to procure finance and accountancy management services at an expert level in support of its in-house finance function.

 

We estimate that this service may be the equivalent of one day per week of time, quotable as an hourly or daily rate, with some flexibility of additional service supply during key accounting periods. The successful tender may come from a freelance provider or an accountancy firm that offers support services outside of audit and taxation. Equally, if a suitably experienced candidate would prefer an employed position, we are happy to explore that option. Supply may be on premises or remote, but the ability to visit the galleries as part of the support package will score favourably.

 

WHO ARE WE?

For 125 years, Newlyn Art Gallery has been bringing the best in contemporary art to audiences in the south west. In 2007 the gallery was redeveloped and we opened a second venue, The Exchange in Penzance and we now offer a wide and varied programme of contemporary art exhibitions and projects across our two sites, presenting work in all media by regional, national and international artists.  Increasingly in recent years, our programmes have reached out beyond our galleries into other settings, including care homes, schools and other public spaces, from beaches to places of worship, in order to realise our commitment to reach the broadest and largest audiences we can. OUR VISION

The gallery was founded by the Philanthropist and social reformer John Passmore Edwards in 1895. He was committed to improving people’s lives and felt that art had an important role to play. This vision has inspired us to think more ambitiously about our work with communities and how we might involve them more actively in shaping and leading our work. We are particularly interested in how the gallery might embrace its civic role and become relevant and important to more people.

 

WHAT DO WE NEED?

We have an excellent Finance Officer who leads on much of our day-to-day finance activities up to Trial Balance on SAGE 50 and, increasingly, to Management Accounts level. Our Finance Officer (FO) works on a full-time basis variously from our two galleries and from home. We need additional expert support to our FO’s on-going development while holding the high-level Finance brief and bringing fresh thinking to our management team.

 

THE SPECIFICS:

  • Overview of management accounts and guidance and support for the Finance Officer in all aspects of the FO’s work
  • Lead on budget planning
  • Filing quarterly VAT returns and any matters around partial exemption
  • Work with the Finance Officer on Arts Council England quarterly and annual returns
  • Prepare papers for our five-a-year Trustee board meetings and attend as required
  • Year-end review and assembly of documents and support for the audit process
  • Making Museums & Galleries tax relief claims annually and supporting on Gift Aid claims
  • Be our first point of contact for our auditors
  • Sound and clear business advice to the operational and commercial team at the gallery

 

THE SUCCESSFUL TENDER WILL:

  • Quote for services on an hourly and daily rate price
  • Describe availability of time to devote to supporting the FO and the gallery
  • Describe how availability of time can flex with key reporting cycles: Arts Council England returns; board meetings; year-end; budget-setting
  • Describe how the brief will be fulfilled – remotely and at premises
  • List the experience and qualifications that are held by the tenderer and that are relevant to supporting the in-house finance function of a small visual arts charity
